Business Manager (Accounting & Operations) - [Part Time / In-Person]
About the role
Part-time, in-person finance and operations role at HealthKey, focusing on bookkeeping, AP/AR, payroll, tax compliance, and back-office automation, with potential to grow to full-time.
Responsibilities
- Run accounts receivable: Invoice customers in QuickBooks, apply payments, reconcile deposits, and follow up on late payments.
- Run accounts payable: Pay vendors and contractors on time, code expenses, and manage receipts and reimbursements.
- Close the books every month: Bank and credit card reconciliations, categorization, and journal entries.
- Run payroll, HR & benefits admin: Gusto payroll, onboarding and offboarding paperwork, benefits, and insurance renewals.
- Keep us compliant: Coordinate sales tax filings, annual tax returns with our CPA, and renewals calendar.
- Automate with AI: Use Claude Code or Codex to turn recurring manual work into automated tools and processes.
- Handle operations & special projects: Tradeshow/event logistics, scheduling, materials, vendor management, and miscellaneous tasks.
Qualifications
- 2+ years of hands-on accounting experience: bookkeeping, AP, and/or AR
- Based in Austin, TX
- Ability to work in-person at our Austin office a few days a week
- Experience using AI to automate real work processes (beyond chat)
- Excel power user (pivot tables, lookups, data cleaning)
- Detail-oriented with high ownership and proactive problem-solving
- Nice to have: experience in early-stage startups or small businesses, familiarity with Gusto, Stripe, Rho, or Mercury, accounting/finance degree or CPA track, Python or SQL (bonus)
