About the role

MAC Specialist responsible for hands-on execution of employee moves, adds, changes, and full building decommissions across Santa Clara Valley. On-site role focused on ensuring work is completed on schedule and to Apple standards, acting as key point of contact for business partners and vendors to minimize disruption, maintain budget adherence, and ensure compliance with Apple standards.

Responsibilities

  • - Contributes to an inclusive environment and maintains strong stakeholder relationships.
  • - Execute all aspects of the move process: intake, scoping, scheduling, sequencing, day-of execution, and post-move follow-up.
  • - Serve as on-site point of contact during moves and decommissions, directing vendors and resolving issues in real time.
  • - Execute moves and decommissions outside standard business hours as needed (evenings/weekends).
  • - Execute end-to-end building decommissions, sequencing activities from vacancy to turnover.
  • - Coordinate parties for decommission (PM, Facilities, Interior Services, IT, Security, EH&S, Environmental, Asset Management) and ensure scopes are complete and signed off.
  • - Manage disposition of furniture, equipment, and assets (relocation, storage, resale, donation, recycling) per sustainability goals.
  • - Coordinate cross-functional readiness (furniture reconfiguration, IT/AV, badge/access changes, signage, custodial support).
  • - Manage move and decommission vendors (scheduling, on-site direction, quality control).
  • - Develop and maintain service level agreements with vendors and track performance.
  • - Coordinate with Places Leasing on decommission timelines and building turnover.
  • - Update space/occupancy records post-move; ensure floor plans and seat assignments reflect current conditions.
  • - Conduct post-move and post-decommission walkthroughs and resolve punch list items.
  • - Communicate move logistics, timelines, and expectations to affected employees in advance.
  • - Proactively work with partners to prioritize projects and scheduling.
  • - Continuously identify ways to streamline processes and improve employee experience; incorporate AI tools into daily work and pilot AI applications for planning, tracking, reporting, and vendor coordination.
  • - Manage financial processes including vendor invoicing, budgets, and forecasts; validate proposals and invoices for contract compliance.
  • - Provide regular management reporting on move volumes, decommission status, and vendor performance.

Qualifications

  • - 3+ years of experience executing workplace moves, adds, and changes with on-site vendor direction and day-of coordination.
  • - Experience supporting building decommissions/closures/relocations, including asset disposition and multi-team coordination.
  • - Flexible schedule including evenings, weekends, and extended hours as needed.
  • - Experience planning, coordinating, and executing multiple client needs simultaneously.
  • - Ability to read/interpret floor plans and maintain accurate space records.
  • - Familiarity with IWMS/SM service request management, MS Office/iWork, and Box.
  • - Proficiency with AI tools and ability to apply them to daily work.
  • - 5+ years of experience in a large corporate or campus environment with oversight of move vendors and furniture reconfiguration (preferred).
  • - Experience running full building decommissions from vacancy to turnover, coordinating trades and internal partners (preferred).
  • - Excellent communication (verbal/written) and customer-facing skills (preferred).
  • - Strong financial, organizational, and reporting skills (preferred).
  • - Ability to work independently in a changing, high-growth environment; proactive, collaborative, and customer-focused.
  • - Bachelor’s degree preferred (optional).
