About the role

Executive Assistant to two executives within the G&A organization, providing dedicated support to help operate efficiently, manage complex logistics, and reduce friction in day-to-day operations.

Responsibilities

  • Calendar management - coordinate and prioritize meetings including team, offsite, and cross-functional meetings across domestic and international time zones
  • Synchronize with executives to ensure rapid calendaring decisions and prioritize sensitive matters
  • Manage and schedule logistics of meetings, including conferences and special events (onsite & offsite), and arrange travel
  • Partner with Executive to prepare for meetings, interviews, travel, and briefings
  • Set agendas, scribe meeting notes, and capture action items and to-do lists from weekly staff meetings
  • Handle expenses reports and contracts
  • Handle sensitive business and people issues with a high level of discretion

Qualifications

  • 7+ years of overall experience in an administrative role
  • 4+ years supporting Senior Management of Executive-level staff in a global technology company
  • 3+ years experience with modern tools and systems such as G-suite
  • Proven ability to adapt to shifting priorities
  • Excellent communication and collaboration skills
  • Interest in using AI tools to boost effectiveness
  • Obtaining FAA Part 107 certification within the first 60 days of employment is strongly encouraged and may be required for certain positions
