About the role

Lead Company Operations Manager responsible for Leadership Operations, including board materials, ELT and SLT forums, Strategy Days, and cross-functional initiatives within the COO Office as part of Fivetran + dbt Labs integration. Located in Oakland with hybrid work model (two days in the office per week). Reports to the Director of Business Operations & Chief of Staff to the COO.

Responsibilities

  • Own and maintain the integrated calendar of executive forums, planning cycles, and decision points.
  • Improve the rhythm itself by identifying duplicative or low-signal cadences and proposing changes.
  • Ensure each forum has a clear purpose, owner, input set, and decision output without duplication.
  • Own end-to-end preparation of board materials: storyline, data partnerships, and ELT review cycles.
  • Maintain a reliable source of truth for board and executive reporting metrics.
  • Synthesize executive inputs into decision-ready artifacts (docs, models, decks).
  • Partner with the COO's Executive Assistant to align content and logistics.
  • Help run the quarterly ELT Strategy Days: topic selection, agendas, pre-reads, materials, and capture of decisions with owners.
  • Shape Strategy Days around high-priority initiatives and drive decisions to completion.
  • Carry decisions and actions into subsequent sessions and ensure follow-through.
  • Help run weekly ELT meetings: agendas, pre-reads, materials, and capture of decisions with owners.
  • Close the loop between weekly meetings and Strategy Days; track decisions and actions.
  • Remove blockers, escalate when needed, and demonstrate measurable outcomes from cadences.
  • Lead and facilitate recurring engagement with SLT (VPs and above) to share updates across the business.
  • Take on ambiguous, cross-functional initiatives for the COO Office (approx. 20% of capacity) from framing to delivery.
  • Structure new work with clear charter, success measures, stakeholders, and timelines.
  • Drive projects to measurable outcomes without formal authority and transition completed initiatives to permanent owners.

Qualifications

  • Proven experience (5+ years) in program management, business operations, strategy, or chief of staff roles supporting stakeholders up to senior executives.
  • Experience owning executive or board-level forums: designing agendas, pre-reads, capturing decisions, and ensuring follow-through.
  • Credible in the room with senior leaders and capable of leading executive forums in the future.
  • Systems thinker with ability to design scalable processes.
  • Owner mentality with high ambiguity tolerance; able to define problems and drive outcomes.
  • Exceptional written and verbal communication with ability to tailor messages to different audiences.
  • Comfort with data analysis and translating results into clear recommendations.
  • Experience with program management tools and methodologies managing multiple concurrent workstreams.
