About the role

Executive Operations role supporting the CEO with facilities, vendors, purchasing, calendar and travel, team logistics, events, and ad-hoc operational tasks. In-person 5 days a week in San Francisco.

Responsibilities

  • CEO leverage. Own the CEO’s calendars, travel, expenses, and inbox triage. Prep them for what's next, capture decisions, and turn "we should" into "it's handled."
  • The office runs like a product. Facilities, vendors, supplies, catering and snacks, seating, security, mail and shipping, the space itself. When something breaks, you fix it before anyone notices.
  • Fuel the team. Manage catering, snacks, coffee, and daily rituals for long in-person days.
  • Moments that matter. Organize team dinners, offsites, onboardings and the visitor experience for candidates, partners, and investors.
  • Whatever's least owned. Jump on high-priority unowned tasks (e.g., short-notice events, moves or buildouts, operational fires).
  • Ad-hoc support. Billing, people ops, and other operational tasks as they arise.

Qualifications

  • You've been someone’s trusted right hand (executive, founder, or small team). Exceptional EAs and candidates with broader operational backgrounds.
  • You exercise judgment, not just follow instructions. Able to act with incomplete information and escalate when needed.
  • Your follow-through is exceptional. You manage multiple moving pieces, hold vendors accountable, and stay on top of it.
  • You combine high standards with low ego. Comfortable negotiating with vendors and coordinating team needs.
