About the role

Office Manager role responsible for daily food & comfort, office operations, and systems improvement at Higgsfield AI in Almaty, Kazakhstan.

Responsibilities

  • Food & daily comfort: handle daily lunches, breakfasts, snacks, coffee, drinks; choose vendors, place orders, manage delivery timing, ensure food arrives hot and on schedule; handle dietary needs and rotate the menu; keep kitchen and snack stock full; track food spend and negotiate terms.
  • Office management: keep the office running end to end (cleaning, supplies, water, repairs, furniture, plants, lighting, temperature); main point of contact for landlords, cleaning services, couriers, repair crews and other vendors; set up and improve workspaces; manage logistics of team events, all-hands, and guest visits.
  • Systems & improvement: build simple systems (inventory trackers, vendor lists, order schedules, onboarding checklists); identify and eliminate recurring annoyances; keep documents, invoices, and receipts organized and handed off to finance on time.

Qualifications

  • 1+ years as an Office Manager, Administrative Assistant, or Coordinator (flexible for high-potential candidates).
  • Strong organizational skills and attention to detail.
  • Ability to juggle many small tasks and react quickly.
  • Initiative to improve and systematize processes.
  • Excellent communication skills with vendors, couriers, contractors, and internal teams.
  • Proficiency in Excel, Google Sheets, Notion, Google Calendar, and Slack.
  • Fluent English.
