About the role

Entry-level role supporting workplace operations, recruiting coordination, executive support, and special projects at Ambient.ai’s Redwood City office. Opportunity to gain hands-on experience in a fast-moving tech startup environment with room to grow.

Responsibilities

  • Own the workplace experience: keep Redwood City office organized, welcoming, and client-ready; greet candidates, customers, and guests with warmth and professionalism.
  • Create an exceptional Day 1: own new hire onboarding from start to finish (equipment, desk setup, access, swag).
  • Build culture through experiences: plan company events, manage swag, and lead Anniversary Recognition Program.
  • Manage vendors, budgets, and safety: oversee office vendors and expenses with Finance; own workplace safety, compliance, and security, including badge access.
  • Keep the company moving: run Friday company meetings, coordinate in-office replica weapon testing, and handle other priorities as they come up.
  • Own interview logistics: schedule interviews across candidates, interviewers, and time zones in Ashby; maintain accurate schedules and candidate status.
  • Create an exceptional candidate experience: keep candidates informed, welcome onsite interviewees, and run onsite interview days smoothly.
  • Drive follow-through: ensure interviewers submit scorecards on time, and help scheduling debriefs.
  • Support recruiting initiatives: assist with career fairs, campus recruiting and other events.
  • Travel & Logistics: plan travel for executives and business trips from start to finish.
  • Expense Management: collaborate with Finance on Ramp expenses and reporting.
  • Offsites & Events: organize leadership offsites, dinners, and gatherings.
  • Strategic Partner to Leadership: coordinate meetings, handle ad-hoc requests, and drive high-priority projects.

Qualifications

  • 1-3 years of experience in workplace operations, office management, executive support, recruiting coordination, or similar operations role.
  • Location: fully in-office, Redwood City 5 days per week (no remote/hybrid).
  • Exceptional organization and attention to detail.
  • Strong judgment and ownership.
  • Warm, polished, and professional demeanor.
  • Highly resourceful and adaptable.
  • Tech-savvy with Google Workspace (Sheets, Slides); willingness to learn common workplace tech (e.g., Zoom Rooms).
  • Comfortable managing vendors and budgets; tracking expenses.
  • Demonstrated AI fluency using AI tools daily.
  • Bonus: experience with Ashby or another ATS; familiarity with OSHA/workplace safety requirements.
