About the role
Senior Accounts Payable Manager responsible for end-to-end AP operations, vendor management, and process improvements. Leads a small AP team, ensures compliance and controls, supports month-end close, and collaborates cross-functionally to scale Whatnot’s global AP operations.
Responsibilities
- Own the full accounts payable cycle — from purchase order and invoice receipt through approval, payment, and reconciliation.
- Manage and mentor a small team of AP associates.
- Enforce purchase policy, ensuring vendor spend is authorized via Zip, contracts executed via Ironclad, and documentation standards are met; partner with Finance and Legal to address compliance gaps.
- Oversee payment runs (ACH, wire, check) across US and international entities, ensuring proper segregation of duties and approval controls and mitigate payment fraud risk.
- Own AP close activities including accruals, vendor statement reconciliations, and aged payables review for month-end reporting.
- Optimize AP workflows in NetSuite and Zip; identify automation opportunities and lead system implementations or upgrades as the company scales.
- Support AP processes across US and international entities (UK, Ireland, Poland, Germany) including multi-currency payments and VAT considerations.
- Maintain audit-ready AP documentation and support external auditors; contribute to internal controls aligned with SOX or equivalent frameworks.
- Partner with FP&A on cash flow forecasting, with Legal on contract/vendor onboarding requirements, and with stakeholders to ensure spend is budgeted and coded.
Qualifications
- 8+ years of relevant experience in accounts payable or accounting roles, including at least 3 years leading an AP function or managing teams.
- Bachelor's degree in Accounting, Finance, or related field (CPA a plus but not required).
- Strong proficiency in NetSuite (required) and procurement/AP tools such as Zip, Coupa, or similar.
- Experience with multi-entity, multi-currency AP operations; international AP exposure a strong plus.
- Deep understanding of AP internal controls, payment fraud prevention, and segregation of duties.
- Exceptional attention to detail, organizational skills, and ability to manage competing priorities and deadlines.
- Strong communication skills and ability to work with vendors, cross-functional teams, and senior stakeholders.
- Enthusiastic, self-motivated, and proactive in solving problems and improving processes.
