About the role

Whatnot is seeking a Recruiting Coordinator for a 6-month contract to own scheduling logistics, collaborate with recruiters and hiring managers, and drive recruiting enablement while maintaining a positive candidate experience. This remote-friendly role supports multiple teams and time zones with potential to convert to full-time.

Responsibilities

  • Own scheduling logistics across all teams and time zones — ensuring interviews are confirmed accurately and both candidates and interviewers have all necessary details.
  • Collaborate closely with recruiters and hiring managers to manage complex scheduling, proactively flag conflicts, and communicate updates clearly and promptly.
  • Leverage Ashby for scheduling, tracking, and analytics — automating workflows where possible to improve efficiency and maintain a consistent candidate experience.
  • Track and report recruiting metrics to keep the hiring team informed and identify opportunities to optimize the recruiting process.
  • Drive recruiting enablement, including maintaining documentation, helping with trainings, and fielding ad hoc requests.
  • Build strong partnerships with recruiters and hiring managers to anticipate scheduling or process challenges and resolve them before they become blockers.
  • Contribute to team projects and initiatives, taking ownership and driving them to completion with minimal supervision.

Qualifications

  • At least 1 year of experience as a Recruiting Coordinator, ideally in a fast-paced or startup environment.
  • Highly organized — able to balance multiple priorities with precision.
  • Proactive and dependable — anticipates needs, communicates effectively, and takes initiative.
  • Candidate-obsessed — cares deeply about creating a smooth, human experience for every candidate and hiring partner.
  • Tech-savvy — comfortable using recruiting tools like Ashby and eager to learn new systems.
  • Collaborative — builds trust across teams and enjoys being a helpful, reliable partner.
  • Growth-minded — welcomes feedback and seeks ways to improve.
