About the role

Executive Assistant role supporting idler's co-founders with hospitality, logistics, and discretion-focused executive support in an in-person San Francisco setting.

Responsibilities

  • Plan travel for the co-founders and the team — book flights, hotels, and ground transport, with proactive contingency plans when disruptions occur.
  • Run the moments that matter — plan team dinners, offsites, onboardings, and hosted meals including venue, catering, setup, and cleanup.
  • Host candidates and visitors — build onsite schedules, book hotel, order meals, and warmly greet guests.
  • Remember people — track what candidates, teammates, and partners care about and send thoughtful gestures (e.g., books, thank-you notes).
  • Look after the office and the vendors behind it — manage snacks, coffee, supplies, and equipment readiness for new hires; negotiate with caterers, venues, and suppliers within budget.
  • Take on weekly priorities — handle dinner reservations and expense reports for founders, urgent events, and office rearrangements.
  • Build systems rather than one-off solutions — document workflows to improve future events, onsite experiences, and new hire onboarding.

Qualifications

  • Two or more years supporting an executive, founder, or small team, or running event or hospitality operations.
  • Experience managing a budget and negotiating with vendors.
  • Clear, warm writing for communications with candidates, guests, and vendors.
