Hybrid role combining recruiting coordination and People Operations to support interview logistics, candidate experience, onboarding, benefits coordination, and core HR administration at Distyl AI.

Responsibilities

  • Own interview scheduling and logistics across multiple concurrent searches, spanning technical and non-technical roles
  • Act as the primary point of contact for candidates, communicating with a warm, informative tone
  • Coordinate availability across candidates, interviewers, hiring managers, and leadership, including onsite and virtual interviews, panel prep, and debrief scheduling
  • Proactively flag scheduling conflicts and pipeline bottlenecks before they become delays
  • Maintain accurate candidate data and pipeline hygiene in Ashby
  • Support offer logistics and hand off new hires to People Ops
  • Own end-to-end onboarding for new hires, including pre-employment background checks, new hire paperwork, I-9 verification, travel arrangements, and any other pre-boarding coordination
  • Coordinate benefits administration, including new hire enrollment, answering employee benefits questions, and working with brokers and vendors
  • Support core HR operations such as maintaining employee records and HRIS data accuracy
  • Help prepare employment documentation, such as employment verifications, and status changes, etc in partnership with the People team
  • Support employee lifecycle processes including role changes, leaves, and offboarding logistics
  • Provide support and contribute to People programs and events such as team onsites, engagement efforts, and new hire welcomes
  • Identify opportunities to use AI tools to streamline scheduling, communication, onboarding, and reporting, and help build and implement those improvements
  • Suggest and drive improvements to recruiting and People processes, especially in ambiguous or undefined situations
  • Handle confidential candidate and employee information with care and good judgment

Qualifications

  • Experience in Recruiting or People Ops: 1 - 3 years of experience as a Recruiting Coordinator, People Operations Coordinator, HR Coordinator, or similar role, ideally at a startup or tech company
  • Strong internship experience combined with exceptional ownership considered
  • Organized and detail-oriented with ability to manage many moving pieces
  • Candidate and employee-first mentality with strong written and verbal communication
  • Trustworthy with sensitive information and confidentiality
  • AI-native working style with regular use of AI tools
  • Bias toward process improvement and ability to operate in ambiguous environments
  • Comfort with ambiguity and working across multiple stakeholders
  • Nice to have: experience with Ashby or similar ATS, Rippling or similar HRIS/benefits platforms, and exposure to US employment basics
