About the role
Role focused on identifying manual, repetitive processes and building automation and systems to improve internal operations, with exposure to firm leadership and ownership from day one. Hybrid, Irvine, CA. Full-time.
Responsibilities
- Hunt down manual, repetitive processes and build automation or systems to eliminate them.
- Turn tribal knowledge into documentation and lightweight automations.
- Own our CRM and keep it clean and effective for the team.
- Take recurring busywork off leaders' plates (scheduling, research prep, documentation).
- Manage contractor onboarding and offboarding end-to-end.
- Identify opportunities to replace spreadsheets or templates with built solutions.
- Standardize how information is tracked, tagged, and organized.
- Pilot new tools (AI-assisted or otherwise) and roll out successful ones.
Qualifications
- 1+ year of experience in operations, process improvement, or a similar hands-on support role (new grads encouraged).
- Curiosity for how systems work and habit of fixing inefficiencies.
- Comfort with CRM, spreadsheets, and lightweight automation tools (e.g., Zapier, Make, or similar).
- Excellent written communication and process documentation skills.
- Highly organized, reliable, and detail-oriented; enjoys building and maintaining systems.
- Confident, diplomatic communicator capable of prodding senior leaders to follow through.
- Initiative and ability to work independently; comfortable operating in ambiguity and learning new tools.
