About the role
Recruiting Operations Specialist for Mercor NYC responsible for the operational core of hiring, scheduling, Ashby data integrity, candidate experience, and on-sites, with emphasis on automation and process improvement.
Responsibilities
- Interview execution — run candidate interview experience end to end across multiple teams (screens, take-homes, virtual loops, full-day onsites)
- Manage complex scheduling across candidates, interviewers, and hiring managers; absorb reschedules and conflicts before they reach the candidate
- Treat interviewer capacity as a metric to own; track load, flag saturation, and scale interviewer pool as volume grows
- Own candidate data in Ashby — stages, tags, scorecards, written rationale
- Build automated checks to surface missing feedback, stalled candidates, and inconsistent data before issues arise
- Turn pipeline data into reporting used by hiring managers (time-to-schedule, funnel conversion, interviewer load, offer outcomes)
- Be the candidate-facing contact at every stage with clear, fast, human communication
- Automate prep materials (interviewer packets, candidate prep, follow-ups) triggered automatically
- Own post-offer coordination and onboarding handoff
- Run on-sites and events (Superdays, dinners, networking) with end-to-end logistics and comms
- Find repetitive work to automate over the first year using automations, LLM workflows, and API integrations
- Codify best recruiting practices into prompts, templates, and workflows for team-wide use
- Lead a project to analyze which interview stages predict success and connect scores to on-the-job performance
Qualifications
- 3+ years of experience in project management, recruiting operations, HR operations, or similar roles
- Fluent in an ATS (we use Ashby) and comfortable with unfamiliar tools
- Experience using AI daily and building something with it (scheduling automation, sourcing workflow, data cleaning scripts, prompt library)
- Exemplary attention to detail (e.g., confirming time zones before invitations)
- Strong problem-solving mindset to address root causes of inefficiency
- Clear, direct writing for candidates, hiring managers, and Ashby notes
- High ownership and ability to close loops without prompting
