About the role

Recruiting Coordinator in Tokyo to partner with Recruiters and Hiring Managers, ensuring a thoughtful, well-run candidate experience and smooth interview logistics for Notion’s Japan hiring.

Responsibilities

  • Create a candidate experience that reflects Notion: be a primary touchpoint, manage interview scheduling, answer questions, resolve issues, and refine processes with recruiters and hiring managers to excite candidates.
  • Coordinate interviews with care and precision: manage a high volume of interviews across time zones, primarily for Go-To-Market teams, including remote and onsite panels; ensure logistics, materials, and feedback loops are clear and on time; troubleshoot day-of changes.
  • Build strong recruiting foundations: opportunity to gain experience in planning, executing, and scaling hiring; potential to take on light sourcing, talent branding projects, process improvements, and additional ownership over time.

Qualifications

  • At least 1–2 years of experience in recruiting coordination or interview scheduling, ideally in a high-volume environment
  • Strong organizational and prioritization skills with proactive, reliable approach and attention to detail
  • Growth mindset with willingness to take ownership of mistakes, learn from feedback, and refine processes
  • Calm, steady approach in fast-moving environments
  • Ability to navigate ambiguity with optimism
  • Clear, kind, professional communication in Japanese and business-level English (spoken and written)
  • Curiosity about AI tools and willingness to adopt them to work smarter and deliver better results
