About the role

Hiring team’s first Recruiting Coordinator to own interview logistics and candidate experience across all open roles, focusing on operational craft, AI-enhanced processes, and scalable coordination.

Responsibilities

  • Scheduling across every active pipeline (recruiter screens through final rounds): building panels, rescheduling, swapping interviewers, juggling time zones.
  • Candidate communication: confirmations, prep emails, itineraries, and day-of updates.
  • Ashby: keep stages current, interview plans and templates up to date, and collect interviewer feedback before debriefs.
  • Interviewer panels: train and balance panels, shadow new interviewers, maintain backups, and evenly distribute workload.
  • Reporting: weekly snapshot of scheduling and pipeline health.
  • Making it better: document repeatable processes and automate where possible.

Qualifications

  • 1 to 4 years coordinating interviews, ideally at a fast-growing startup with high volume and dynamic panels.
  • Organized with a clean Ashby setup; interview prep context available; nothing falls through.
  • Responsive within 24 hours to requests; proactive communication.
  • Discreet with candidate details, compensation, and feedback.
  • Calm under schedule disruption; triage and communicate plans to leadership.
  • Bonus: Ashby administration or experience with ATS like Greenhouse or Lever.
