About the role
Workplace Coordinator role supporting the San Jose office with office operations, administration, and vendor coordination, serving as the first point of contact for employees, visitors, and vendors.
Responsibilities
- Greet and register visitors; notify hosts of arrivals
- Provide high-level customer service to employees, guests, and visitors
- Maintain and manage conference rooms; keep them stocked
- Manage kitchen snacks, drinks, and office supplies; restock as needed
- Assist with workplace safety and security
- Maintain cleanliness of fridge and coffee makers
- Process and distribute incoming mail and fulfill shipping requests
- Collaborate with IT for equipment/accessory requests
- Source, manage, and maintain relationships with workplace vendors (food & beverage, janitorial, security, etc.)
- Manage Forkable lunch service account
- Collaborate with HR, IT, Legal, FP&A, and Workplace team for seamless operations
- Be first point of contact for facility issues at SJ location
- Assist with onsite/offsite office events (catering, decorating, setup, cleanup)
- Occasional travel to SF office for events/coverage
- Update and maintain SJ Emergency Action Plan; educate employees on emergency protocols
- Assist EA team with scheduling and other administrative tasks
Qualifications
- Minimum 2 years of administrative experience
- Experience in fast-paced work environment
- Experience managing an office space
- Proficient in Google Suite, MS Office, Slack
- Experience placing supply orders and organizing mail
- Resourceful, creative problem-solver, adaptable to competing demands
- Excellent verbal, written, and interpersonal communication skills
