About the role

Lead the HQ operations for Clay, owning facilities management, space planning, vendor relationships, budget, and culture-building to create a world-class in-person workplace at the 160,000 sq ft Clay HQ in New York.

Responsibilities

  • Strategic Operations Leadership: Own all workplace operations for Clay HQ, including facilities management, space planning, vendor relationships, budget management, and long-term strategic planning for a 160,000 sq ft space.
  • Thought Leadership & Team Culture: Mentor and coach the NYC workplace team, establish best practices and norms, and serve as a role model for service excellence; future opportunity to formally manage the team as we scale.
  • Facilities Management Excellence: Oversee all aspects of facility operations including HVAC, electrical, plumbing, janitorial services, security systems, access control, and building maintenance for the flagship space.
  • Vendor & Stakeholder Management: Manage relationships with landlords, building management, cleaning services, catering partners, security providers, and other key vendors; negotiate contracts and ensure SLAs.
  • Space Strategy & Planning: Partner with leadership to optimize space utilization, manage seating, coordinate moves/reconfigurations, plan for growth.
  • Workplace Services & Office Operations: Lead strategic operation of Clay HQ for 250+ people, set company-wide office norms, manage kitchens/pantries, meeting room tech, and ensure services run smoothly; partner with front desk/mailroom.
  • Health, Safety & Compliance: Ensure compliance with building codes, fire safety, ADA, workplace safety; lead emergency preparedness.
  • Budget Ownership: Manage workplace experience budget, track expenses, identify cost-saving opportunities, and deliver experiences within financial parameters.
  • Culture & Community Building: Partner on events, programming, and initiatives that strengthen Clay's culture.
  • Innovation & Creative Programming: Dream up and execute innovative workplace experiences and programs to continuously push office value.
  • Cross-Office Collaboration: Collaborate with SF and London workplace leads to share best practices and standardize processes.
  • Data-Driven Improvements: Track metrics, gather feedback, analyze utilization data, and continuously improve the workplace experience.

Qualifications

  • 4+ years of workplace/facilities experience with demonstrated success leading an office of 250+ people
